Dear Doctor,

We have had a number of queries from GPs with regard to the Digital Covid Certificate. As previously advised GPs do not have a role in the issuing of same. However, as also previously advised. a data validation exercise is underway and in this regard please see below important communication issuing from the HSE to all GPs today.

IMPORTANT INFORMATION FOR GPs REGARDING EU DIGITAL COVID CERTIFICATE (DCC)

Dear GPs,

The EU Digital COVID Certificate (DCC) has come into effect in Ireland this week.  As previously advised by  the IMO the HSE are undertaking a data validation exercise on records where there are queries so as to ensure once the DCC is issued it contains the correct information for each patient.

In the vast majority of these cases the matters can be resolved by the in-house team however in some cases there are corrections which need to be validated and in these cases the process will be as follows:

  • If any of your patients have been affected and become resolved through this process you will be informed via email to your Healthmail account. The email will include a detailed breakdown of the affected patients and the changes made to their record and will be issued over the coming weeks
  • You are NOT required to input any changes into your own records at this time.

Where there are records that require validation from the GP team the process will be as follows:

  • Your Relationship Manager will contact you to alert you to affected records and schedule a call where you can agree changes.
  • You will be provided a list of affected records via an email from Healthmail – please review this list in advance of your scheduled call.
  • GPs are NOT required to change their own records at this time and all changes will be made by the internal HSE team

To ensure the efficient ongoing operation of the DCC we ask all GPs to please ensure that your vaccine records are uploaded in real time and that any back logs of vaccine records not entered on the system are uploaded as a priority so that COVAX can be updated and DCC issued.

Guidance is being reissued from Clanwilliam today regarding the submission of vaccine records for the time period between the 14th May and 4th of June, please review to ensure that the records for this time period are uploaded from the PMS system.

Do NOT amend any existing records as this will cause a duplicate record

GP Helpline

If you have an urgent/priority issue for individual patients whose vaccines were administered by your team , you may call the GP vaccines helpline number 01 448 5699tel:01%20448%205699 to discuss the situation. Any such cases will be dealt with on a priority basis.  You may also send an email to gpvaccines@vision.commailto:gpvaccines@vision.com to alert us to the issue and request a callback. Please do not include any patient information in your email. We recommend including a preferred contact number in your email where a callback is requested. This number is for GP and Practice Staff only and is not to be circulated to patients.

In establishing these processes we are very mindful of not placing any additional burdens on GPs and we again remind you that you should NOT change any existing  records.
