ICT Tip 92 – Socrates – How to calculate consultation rates

Honours class this week!  It took me a while to figure this out and it’s still not perfect but I have figured out a way to measure consultation rates.  It is very dependent on the quality of your data, particular regarding patient types and appointments being used just for appointments.  If anyone has a better or more refined method, I’d be delighted to hear from you.

Consultation rate = the number of times a patient in a particular group of patients visit on average per year.

As an example we will look at what was the consultation rate for 6 to 12 year old private patients in 2022.
Use the report “Patient Attendance between dates” Fill out as follows

1: Enter the relevant dates, in this case, 2022.
2: Choose the patient type.  Unfortunately you cannot choose multiple patient types, this is why this search will be very dependent on how tightly you keep control your patient types.  In this practice we have been diligent in trying to ensure that all private patients are PP as the type.
3: Enter the age range
I have left everything else as All but you could examine individual appointment types if you wanted.  If you use appointments for things like tasks and repeat scripts then these will be counted.  We do recommend in general that appointment only be used for actual appointments.
4: This is crucial. Tick Group by Patient – this delivers the numbers you need to calculate the consultation rate.
5: Click OK

You should get a result something like this

So now it is a simple calculation 159/305 gives a consultation rate of 1.91

You can use the same principles to calculate consultation rates for different groups.  For medical card patients you will probably need to run for GMS and GMS DVC and add them together.  I did this exercise for 6- to 12-year-old medical cards and the consultation rate worked out at 3.64.

I’m sure there is lots of interesting data out there to be discovered.
